Job TitleBrokerage AdministratorJob Description SummaryThis role involves providing comprehensive administrative support to a broker by managing complex business requests, communications, and travel arrangements. The position requires coordinating and prioritizing tasks, creating reports and presentations, and maintaining the broker's professional calendar while ensuring confidentiality and discretion. The ideal candidate will leverage strong organizational skills, attention to detail, and a thorough understanding of the company's operations to effectively manage tasks and assist in decision-making processes.Job DescriptionEssential Job Duties:

  • Provides a wide range of high-quality complex office administration and support.
  • Reviews, prioritizes, directs and delegates a wide variety of complex and confidential business-related requests that are presented to the broker for consideration.
  • Summarizes, prioritizes, and researches information into a concise and usable format for the broker to review.
  • Responds to or routes priority or confidential business-related inquiries from external or internal sources with correspondence or other messaging.
  • Creates or directs creation of reports, charts, budgets, and other presentation materials.
  • Schedules and organizes complex calendar activities, working around scheduling conflicts and maintaining responsibility for the broker's professional calendar.
  • Manages end-to-end complex business-related travel arrangements and logistics for the broker, including expense reporting management and reconciliation.
  • Coordinates broker's communications, including taking calls, responding to emails, and interfacing with clients, while maintaining discretion and instilling confidence in clients.
  • Independently manages business requests, determines the appropriate course of action, intervenes when necessary, and serves as a liaison between the broker and other key members of the management team.
  • Solely responsible for developing and maintaining efficient filing systems, leveraging technology and other solutions to ensure files are accurately maintained, archived, and readily available.
  • Has a broad knowledge and understanding of the company's operations and business objectives.BACKGROUND AND EXPERIENCE
    • Bachelor's Degree (Business, Marketing, Communications, or Finance a plus) preferred.
    • 3+ years' experience in a professional organization or equivalent educational experience.
    • Administrative experience for executive-level professionals for more senior positions preferred.
    • Advanced knowledge of Microsoft Office.COMPETENCIES
