RESULTS empowers individuals to exercise their personal and political power for change by mobilizing the voices of grassroots constituent advocates throughout its nationwide network to leverage public investment in programs and improved policies that reduce poverty and inequality.SUMMARY Reporting to the Director of Grants Administration, the Associate supports compliance work by coordinating payment requests to international organization partners of RESULTS. The Associate is a key part of sequential workflows of the Grants Administration team, Finance team and program teams and is responsible for providing core support by facilitating the issuance of contracts to international funded partners, coordinating monthly payments to partner organizations including sub-grantees, collecting requirements that ensure grant terms and conditions are met, processing international partner travel reimbursements, and applying grant coding and ensuring approvals of all related expenses. Utilizing a high level of effective communication skills, the Associate is a main point of contact for international partners and as such ensures timely correspondence and follow-up with them.DescriptionRESPONSIBILITIESPayment Process Coordination

  • Review invoices submitted by international partners for consistency with terms of contracts regarding costs.
  • Request required receipts for international partner travel reimbursement and information on travel details as booked through Results Educational Fund (REF), enter all information into set template.
  • Referring to coding plans, apply coding of grants to reported expenses, route for internal approvals.
  • Prepare wire requests and monitor their progress in reaching payment recipients.
  • Maintain tracking tools to keep status on monthly and all other payments updated.
  • Communicate regularly with international partners including sub-grantees on status of payments.Contract Administration and Compliance
    • Issue annual requests for compliance-process documents for international partners, as well as their organizational budget, lobbying and training checklist. Collect, track, and file all submissions.
    • Prior to new contracts being issued, follow verification process to include collecting partner organization's list of staff and board members and performing an SDN/Sanctions List Search. Document all findings as required.
    • Apply templates to create agreements for all partner funding and expense reimbursements for review by Director of Grants Administration.
    • Upload approved agreements and route for signatures to Executive Directors of RESULTS and to international partners.
    • Upon request from international partners, provide annual data on payments made, within the context of helping them meet audit requirements.
    • Support organizational compliance and efficiencies by working with the Senior Manager of Accounting to determine best process and tools to view submitted materials.Reporting
      • Provide monthly estimates via a set template for any monthly payments or partner travel reimbursement funding not yet completed by set due date.
      • Provide updated quarterly projections each month to Director of Grants Administration of sub-contractor costs for the current fiscal year.
      • Maintain an annual record of sub-grant international partner transfers/contracts within RESULTS Educational Fund's (REF) fiscal year, as REF's audits require.Team Leadership and SupportSupport organizational goals by participating in team and staff meetings and following required processes for all employees.QUALIFICATIONSExperience and Education
        • Four-year college degree or its equivalent in work or life experience relevant to the position.
        • One year of solid work experience in a non-profit setting, preferably supporting or collaborating with partner organizations or like entities toward meeting contracted requirements under set timelines.
        • Preference for experience specifically in reviewing reports and invoices and reconciling expenses with multiple currencies.KNOWLEDGE AND SKILLS
          • Proficiency in MS Office (with emphasis on Excel), Outlook, Sharepoint, and various virtual meeting platforms.
          • Demonstrated excellent interpersonal skills to include verbal and written communication skills in English; able to be polite and assertive in follow-up communications.
          • Able to perform effectively in a remote/hybrid work environment.
          • Self-starter with demonstrated initiative and commitment to being a valuable member of a team.
          • Dedication to detail, organization, and meeting deadlines in order to deliver a quality work product; ability to focus on repetitive work.
          • Able to make significant progress in day-to-day work; incorporates feedback from supervisor into an improved deliverable.
          • Enthusiasm for the behind-the-scenes work that helps power an advocacy movement against poverty.
          • Collaborative, customer service-oriented, and knows how to take a constructive approach to challenges.

              • Health Insurance: RESULTS Educational Fund pays 100% of premiums and out-of-pocket costs for employees and their dependents for medical, dental, vision and prescription coverage. We offer flexible spending accounts to which employees may contribute with pre-tax payroll deductions.
              • 401(k) Retirement Plan, with both pre- and post-tax contribution options; employees are eligible to enroll on the first day of the month following their date of hire. RESULTS will begin making an employer match on the first day of the month following an employee's one-year service anniversary: 100% of the employee contribution up to 3% of salary, then match 50% on any additional contributions up to 5% of salary.
